# SOFTWARE PROJECT SPECIFICATION DOCUMENT
**Stage:** Project Understanding & Requirements Definition
**Project Name:** School Management Website
**Document Version:** 1.1.0
**Author:** Software Project Architect
**Status:** Pending Approval

---

## 1. Executive Summary & Purpose

The **School Management Website** is a web application created to allow an administrator to manage student records. The system provides core administrative functions: adding, viewing, editing, and deleting student records, alongside search and filtering capabilities for the student list.

---

## 2. Confirmed Requirements

These requirements are derived strictly and explicitly from the provided project description.

### 2.1 User Roles
- **Admin:** The single administrative user role responsible for managing student records.

### 2.2 Student Data Fields
Each student record contains the following explicit fields:
- **Name**
- **Email**
- **Phone**
- **Course**
- **Admission Date**

### 2.3 Core Functional Requirements
- **FR-1 (Add Student):** The admin can create and save a new student record with all specified fields (Name, Email, Phone, Course, Admission Date).
- **FR-2 (View Students):** The admin can view the list of existing students and their details.
- **FR-3 (Edit Student):** The admin can modify the information of an existing student record.
- **FR-4 (Delete Student):** The admin can remove a student record from the system.
- **FR-5 (Search Student List):** The admin can search through the student list.
- **FR-6 (Filter Student List):** The admin can filter the student list based on criteria.

## 3. AI Recommendations

The following items are technical, architectural, and usability suggestions. They are **not** confirmed requirements and require review and approval before inclusion in the project scope.

### 3.1 Data Model & Technical Schema Recommendations
- **System Identifiers & Auditing:**
  - Introduce an internal unique identifier (`id`: Integer or UUID) for reliable record referencing.
  - Add auto-managed audit fields (`created_at`, `updated_at`) to track when records are inserted or modified.
- **Suggested Data Types & Field Constraints:**
  - `name`: String (e.g., text, 2 to 100 characters).
  - `email`: String with standard email format validation (e.g., `user@domain.com`); consider a unique constraint to avoid duplicate accounts.
  - `phone`: String with format/length validation based on regional dialing norms.
  - `course`: String or reference to a course list.
  - `admission_date`: Standard Date format (`YYYY-MM-DD`).

### 3.2 Usability & Workflow Recommendations
- **Deletion Safety:** Add a confirmation modal or prompt prior to executing a delete action to prevent accidental data loss.
- **Pagination:** Implement pagination (client-side or server-side) on the student list table to keep page loading fast as the record count grows.
- **Search Scope:** Configure the search feature to match against `Name`, `Email`, and `Phone` fields.
- **Filter Scope:** Provide filters targeting the `Course` field and `Admission Date` (e.g., specific date or date range).
- **Filter Reset:** Include a single-click "Clear / Reset Filters" option to quickly return to the default full list view.

### 3.3 Suggested Performance & Technical Targets
- **Response Time Target:** Aim for typical database-driven search and list queries to respond in `< 500ms` under standard loads.
- **Validation Layers:** Validate fields on both the client side (instant UI feedback) and server side (data consistency and security).

### 3.4 Out-of-Scope Recommendations (for Initial Version)
To keep the initial release simple and focused, the following are recommended to be out of scope unless requested:
- Student/Parent portals or self-service access.
- Fee collection and payment processing.
- Attendance tracking, timetable management, grading, and report cards.
- Multi-tier role permissions (e.g., Teachers, Accountants, Staff).

---

## 4. Open Questions

The following decisions are required before proceeding to the technical architecture and design stages:

1. **Authentication & Access Control:**
   - How should the Admin access the website? Is a login/authentication system (e.g., username/password or email login) required, or will access be restricted via network/infrastructure level?
   - Will there be only one single admin credential, or is multi-admin user management needed?

2. **Search & Filter Behavior:**
   - Which specific fields should the search bar match against (e.g., Name only, or also Email and Phone)?
   - Which fields should be filterable (e.g., by Course, by Admission Date range, or others)?

3. **Course Value Handling:**
   - Can the admin type any course name as free text, or should courses be selected from a predefined list/dropdown?
   - Is a separate screen/module needed to manage available courses?

4. **Deletion Strategy:**
   - When a student is deleted, should the record be permanently removed from the database (Hard Delete), or marked as inactive/archived (Soft Delete)?

5. **Data Export / Import:**
   - Is there a need to export student records to CSV/Excel or import records in bulk?

---

## 5. Next Steps

1. Client/stakeholder review of **Confirmed Requirements**.
2. Decisions on **Open Questions** (Authentication approach, Course input method, Deletion type).
3. Review and approval/rejection of **AI Recommendations**.
4. Transition to **Stage 2: Technical Architecture & System Design**.
